Job Summary

We are looking for a detail-oriented and proactive Accounts Assistant to be an essential support member of our finance team. This role is crucial for ensuring the accurate and timely execution of key financial processes, primarily focusing on Accounts Payable (AP) and Employee Expense Claims. The Accounts Assistant will maintain strict compliance with internal controls and contribute to the smooth financial operations across multiple entities.

Key Responsibilities

1. Accounts Payable (AP) Management

  • Invoice Processing: Receive, verify, and accurately process all supplier invoices, ensuring correct general ledger coding and adherence to company policies.
  • Approval & Payment: Monitor payment schedules, manage the correct approval routing of invoices, and actively support timely payment runs.
  • Reconciliation: Perform vendor statement reconciliations and proactively resolve any billing or payment discrepancies.
  • Record Keeping: Maintain accurate AP records and assist the finance team with month-end closing procedures and providing documentation for internal and external audits.

2. Employee Expense Claims

  • Review & Validation: Review and validate employee expense submissions, ensuring full compliance with company expense policies.
  • Processing & Reimbursement: Ensure all required documentation and approvals are in place, process claims through the expense management system, and coordinate timely reimbursements.
  • Support & Queries: Act as a resource for employees, responding to queries regarding claim status and policy interpretation.
  • Reporting: Support periodic audits and assist with reporting on expense trends.

3. General Financial Support

  • Perform necessary data entry, meticulous filing, and documentation management.
  • Collaborate effectively with various internal departments to quickly resolve any payment or claim-related issues.
  • Contribute to ongoing process improvement initiatives and support finance team with ad-hoc tasks and reporting needs as required.
